For housing associations and registered providers

Fire-door inspections at portfolio scale.

Thousands of doors, across multiple properties, on multiple inspection cycles, inspected, registered and tracked inside one programme.

  • Door-by-door inspections
  • Photographic evidence
  • Portfolio-wide register
  • Defect tracking
  • Every cycle scheduled

For housing associations, registered providers and local authority housing teams across London, the East of England and the East Midlands.

The Problem

Thousands of doors. Multiple properties. Multiple inspection cycles.

At portfolio scale the inspection itself is the straightforward part. Keeping the evidence straight is what takes the time.

  • Buildings over and under 11 metres sitting on different legal cycles
  • Quarterly communal checks and annual flat-door checks running in parallel
  • Access refusals that have to be evidenced, not just noted
  • Regional contractors each reporting in a different format
  • Door-level data that cannot be rolled up to a portfolio view
  • Evidence requested by the regulator at short notice
  • No single source of truth for what has been checked and when
  • Contractors holding the photographs on their own systems, not yours

The problem isn't the inspection.
It's holding a defensible record for every door, in every building, on every cycle.

The Programme

One programme. Every door. One place to see what's happening.

Six stages, run in order, on every building we look after.

Inspect

Door-by-door inspection with photographic evidence, carried out by an FDIS-certified inspector.

Record

Every finding linked to the property and to the individual door it belongs to.

Prioritise

Defects categorised red, amber or green, so your team knows what needs attention first.

Resolve

Outstanding actions tracked through to completion, with a fixed price against each one.

Reinspect

Follow-up inspections organised, and completed works re-checked before they are signed off.

Report

Clear documentation at property and portfolio level, ready for whoever asks to see it.

What's Included

Portfolio Inspection, Register and Defect Tracking

One programme across the portfolio, built so the evidence rolls up instead of sitting in silos.

  • 01

    Door-by-door inspection

Every communal and flat entrance door assessed against gaps, seals, hinges, closers, glazing, signage and certification.

  • 02

    Photographic inspection record

A photograph of every door, dated and filed against the block, core and door reference.

  • 03

    Portfolio fire-door register

One register across every property, searchable by block, by cycle and by defect status.

  • 04

    Defect prioritisation

Red, amber and green ratings applied consistently, so the portfolio can be sorted by actual risk.

  • 05

    Remedial action schedule

A fixed-price schedule of works per block, priced per door and agreed before any work starts.

  • 06

    Access attempt logging

Every access attempt recorded with date and time, so reasonable efforts are evidenced rather than asserted.

  • 07

    Recurring inspection programme

Quarterly and annual cycles mapped per building, with the next check scheduled before the last one closes.

  • 08

    Portfolio reporting

Board, regulator and insurer reporting produced from the register, not assembled by hand.

Why Us

Sounds good. Can these people actually do it?

A fair question. Here is what stands behind every inspection.

  • FDIS-certified inspectorsInspections carried out by certified fire door inspectors, with the certificate number printed on the report.
  • A documented methodologyThe same inspection process on every door: gaps, seals, hinges, closers, glazing, signage and certification.
  • Fully insuredPublic liability and professional indemnity insurance in place, evidence available on request.
  • Photographic reportingA photograph of every door, dated and filed against that door, not a representative sample.
  • Digital documentationA register you hold, in a format you can search, share and hand over.
  • Clear defect categorisationRed, amber and green ratings with a plain-English note on what is wrong and what it needs.
How It Works

Getting started takes three steps.

Your team doesn't need to build the system. We do.

Send us your portfolio

Your stock list with building heights and door counts, or whatever you hold today. We will work from your existing register if you have one.

We build the inspection programme

We map each building to its cycle, agree phasing and volumes, and set the schedule against your reporting dates.

We inspect and report

Inspections run to the agreed programme and the register updates as they complete, so the portfolio view is never out of date.

Our Guarantee

We guarantee the part we control.

Our Reporting Guarantee

If your agreed inspection report isn't delivered within 5 working days of the completed inspection, we provide that report at no charge.

And if we miss an agreed inspection date through an error on our side, we reschedule it at no additional charge.

Questions

Questions We Get Asked

We already have contractors in place regionally.
That is common. We can run the programme alongside them, or consolidate onto one standard. Start with one block and compare the output.
Can you handle the volume?
We scope volume and phasing before committing to a programme. If we cannot resource the cycle properly, we will tell you before you commit, not after.
What happens when residents refuse access?
We make two proper attempts at different times and log every one with date and time. The law asks for reasonable efforts and a record of them, and that record forms part of your file.
Do you handle the repairs?
Yes. Every failed door gets a fixed-price quote. Repairs are carried out by a fire door joiner and re-checked by us before sign-off. You are free to use your own contractor instead.
Can we get the data out?
Yes. The register is yours. You can export it, share it and hand it to another provider without asking us.
Do you cover our area?
We work out of Norwich and cover everything within about a three-hour drive, which runs from London up to Lincoln and across to Leicester and Nottingham. Cambridge, Ipswich, Peterborough, Colchester, Chelmsford, Luton, Milton Keynes and Northampton are all comfortably inside that. Further afield by arrangement.
